Zoho Mail starts at ₹59 per user per month and Zoho Workplace at ₹99, against ₹270 for Google Starter, all on annual billing before 18% GST.
Zoho Mail and Zoho Workplace Pricing in India
Zoho sells two families of plans on its Zoho Workplace India pricing and Zoho Mail India pricing pages. Mail Lite and Mail Premium are mail plans, with calendar but no WorkDrive or office apps. Workplace Standard and Workplace Professional add WorkDrive for files, the Writer, Sheet and Show office apps and Zoho Meeting. Cliq, the Zoho chat app, comes with all four paid plans, in its free edition on the Mail plans. The Mail plans are sold on annual billing only. On the Workplace plans, paying yearly cuts Standard from ₹129 to ₹99 per user per month, which is 23% less, and Professional from ₹489 to ₹399, or 18% less. Zoho itself calls the saving about 20% and says it varies by region. You can mix Mail and Workplace users in one organisation, but only on yearly plans, and the Zoho pricing FAQ describes Workplace as pay as you go with no long term contracts.

Google Workspace Plans in INR
Partner plans start at ₹270 per user per month for Starter and ₹1,080 for Standard on an annual commitment, with Enterprise priced individually. Google also lists Base at ₹99, an India only plan sold by Google directly on a self service basis rather than through a partner. These are the official Google India list prices verified on 15 September 2026, they exclude 18% GST, and an annual commitment costs about 16% less than flexible monthly billing. Our Google Workspace pricing in India page tracks them, and nothing had changed when we checked again on 7 October 2026.
As of 15 September 2026 the Google India pricing page lists 20% off Standard for new customers, ₹864 instead of ₹1,080 per user per month, which Google applies to the first 20 users added and for 12 months, plus a 14 day free trial on paid plans. We pass through whatever official Google offer is current and never discount below Google list prices.
One Google billing rule catches teams that buy seats for a hiring plan that slips. On the annual plan you can reduce licences only when the contract renews, and cancelling before the renewal date still charges the remaining balance with no refund (Google billing help). Count heads before you commit.

Four price traps in other comparisons
The India comparisons we read on 7 October 2026 slipped in these four places.
- USD list prices quoted for an Indian purchase, when both vendors publish INR prices for India.
- ₹864 shown as the Google Standard price. It is the 12 month intro price for the first 20 users of a new customer, and the list price is ₹1,080.
- Base priced through a reseller. Base is sold only by Google, on a self service basis.
- GST left out. Both price lists exclude it, so a ₹99 seat costs ₹116.82 once 18% is added.
What a 10, 50 or 200 Person Team Pays per Year
A 10 person team pays ₹14,018.40 a year on Zoho Workplace Standard and ₹38,232 on Google Starter, on annual billing with 18% GST included. Three things change the answer. The Google Standard intro row applies in year one only, for new customers, and Google decides who qualifies. Zoho Mail Premium has no WorkDrive or office apps, so it appears here for teams that need retention more than an office suite. And Base cannot go past 20 users, which is why its 50 and 200 user cells are empty.

Each yearly figure is users x price per user per month x 12, and the GST figure is that x 1.18. Google Standard in year one is (first 20 users x ₹864 + remaining users x ₹1,080) x 12, and from year two it is the plain Standard row. On monthly billing the same 50 person team pays ₹91,332 a year on Workplace Standard and ₹2,30,100 on Google Starter, GST included.
For a GST registered business that claims input tax credit, the real cost is the figure before GST in the first table. We are a Google Workspace reseller in India, so when you buy through us we issue the invoices. Every invoice is GST compliant and issued in INR, so registered businesses can claim input tax credit.
For a 50 person team, the step from Zoho Workplace Standard to Google Starter costs ₹1,21,068 a year with GST, or ₹1,02,600 for a business that claims the GST back. At the entry tier that money buys less raw storage than people expect, since Starter gives 30 GB per user while Workplace Standard gives 30 GB of mail plus 10 GB of WorkDrive. What it buys is the Google editors and Drive, plus Gemini in Gmail and Vids.
Zoho Mail vs Gmail for Business
For most Indian teams this comparison is really Zoho Mail vs Gmail for business. The two inboxes differ in how storage is counted, how big files travel and which compliance tools come in the box.
Mailbox Storage and Attachments
Zoho gives each mailbox a fixed allowance, 5 GB or 10 GB on Mail Lite, 30 GB on Workplace Standard, 50 GB on Mail Premium and 100 GB on Workplace Professional. Pooled mail storage appears only on Workplace Enterprise, for subscriptions above 1,000 users. Gmail and Drive share one storage pool for the whole organisation, which grows by 30 GB per user on Starter and 2 TB per user on Standard, so a heavy mailbox can use space that a light Drive user never touches.
For attachments, Gmail on Business plans sends up to 25 MB under the Gmail sending limits and turns anything larger into a Drive link automatically. Zoho sends 30 MB on Mail Lite and Workplace Standard and 40 MB on Mail Premium and Workplace Professional. Beyond that it sends huge attachments as links, up to 250 MB on Mail Lite, 500 MB on Standard and 1 GB on Premium and Professional (Zoho attachments help). Both suites fall back to a link once a file is too big, so the headline limit matters less than how much room you have where the linked file lives.
Retention, eDiscovery and Encryption
Zoho Mail Premium and Workplace Professional include email retention, eDiscovery and S/MIME encryption. Workplace Standard and Mail Lite do not. On the Google side, the Business edition comparison ticks Vault, the Google tool for eDiscovery and retention, only for Business Plus among Starter, Standard and Business Plus. Google lists S/MIME on the Enterprise card of its India pricing page.
For a compliance driven buyer on a budget, this is a clear Zoho advantage. Zoho Mail Premium, which brings retention and eDiscovery for ₹199, has no Google match below Business Plus, for which Google publishes no INR price. Mail Premium suits a law firm or a lending company that must hold and search mail for audits.
The Cheapest Business Email on Each Side
Mail Lite costs ₹59 with 5 GB, or ₹75 with 10 GB. Google Base costs ₹99 for the full app suite with 20 GB of pooled storage, up to 20 users and Meet for 100 participants. For a team under 20 that mostly needs email, both are cheap and both work. We cannot sell Base, so if it fits, buy it from Google. The catch arrives with growth. Base stops at 20 users, so the 21st hire means moving to a larger plan such as Starter.
Files, Meetings and AI Beyond the Inbox
Beyond email, Google takes far larger files and pools storage across the organisation, while Zoho Meeting fits more people on Professional than Meet does on Standard.
WorkDrive vs Google Drive
Zoho splits storage in two, with mail in each mailbox and files in a WorkDrive pool for the team. On Workplace Standard each user adds 10 GB to that pool, which starts at 100 GB of shared team storage for 3 to 10 users and grows by 10 GB for every further user. Professional works the same way with 100 GB per user, 1 TB for 3 to 10 users and 100 GB more for every further user. Zoho notes that this flat pool does not apply when you mix plans under its flexible mix and match pricing, where WorkDrive storage is simply the sum of each licence.
WorkDrive takes uploads up to 10 GB per file, while Google Drive accepts files up to 5 TB. For spreadsheets and decks the difference never shows. For a design studio moving raw video, or an engineering firm syncing CAD archives, it decides the choice.

The arithmetic is Zoho Standard 100 GB + 40 x 10 GB = 500 GB, Zoho Professional 1 TB + 40 x 100 GB = 5 TB, Google Starter 50 x 30 GB = 1.5 TB and Google Standard 50 x 2 TB = 100 TB. The Zoho figures assume all 50 users are on one Workplace plan.
Zoho Meeting and Cliq vs Google Meet
Google Meet takes 100 participants on Base and Starter, 150 with recording on Standard and up to 1,000 on Enterprise. Zoho splits meetings across two apps. Zoho Meeting takes up to 100 participants on Workplace Standard and 250 on Professional. Cliq runs audio and video meetings for up to 100 people on Workplace Standard and both Mail plans, with a 60 minute cap on the Mail plans, and on Professional it supports 1,000 active participants with 10,000 viewers. So when a Zoho comparison quotes 1,000 participants, it means Cliq on Professional, not Zoho Meeting.
Zia vs Gemini
Zia reaches further down the price list, since every paid Zoho Mail and Workplace plan includes it, while Gemini reaches Docs, Sheets and Meet only from Google Standard.
Gemini AI features are included in the paid Business and Enterprise plans and have been since January 2025. Business Starter includes the Gemini assistant in Gmail, the Gemini app, Gemini Notebook and Google Vids, and Standard and above extend Gemini across Drive, Docs, Sheets and Slides plus Meet and Chat. The ₹99 Base plan, which Google sells only on a self service basis, has no Gemini inside Workspace apps, and our breakdown of Gemini features by plan shows what each tier does in daily use.
Zoho says Zia features are included across all paid Workplace plans at no additional cost, covering writing assistance, summaries, workflow automation and Zia Agents, which Zoho marks as a preview. Its pricing cards list Zia on all four paid plans, Mail Lite included.
On training, Google states that Workspace prompts and responses are not used to train its models outside your organization without your permission (Google Workspace Privacy Hub), and Zoho says Zia never uses your data to train third party models. Test both on two or three tasks your team repeats every week before AI sways the decision.
Where Each Suite Stores Indian Customer Data
Zoho keeps data for India sign ups in India. Google Workspace data regions cover only the United States or Europe. So if a regulator, a client contract or a board policy requires your email data at rest in India, Zoho can meet that today for accounts hosted in its India data centres, and Google Workspace cannot. If no such rule applies to you, location is one factor among several.

Zoho picks a data centre from the country you choose at sign up, and the form fills that country in from your IP address. Accounts that sign up from India are hosted in Mumbai, with Chennai as the secondary site (Zoho data centre page). Check that country field before you create the organisation. A founder who signs up on a work trip abroad and leaves it on another country could land on a different data centre without noticing.
Google Workspace handles location through data regions. Business Standard, Business Plus and the Enterprise editions can keep covered data at rest in the United States or Europe, or set No preference. Starter has no data region option, and only Enterprise Plus sets regions by organisational unit or group (Google edition comparison). As of 7 October 2026 Google Workspace offers no option to keep data at rest in India.
The law is less strict than many buyers assume. The DPDP Act 2023 does not require personal data to stay in India. It allows cross border transfers to any country except those the government restricts. Sector rules are a different matter, and our note on the DPDP Act and data residency rules explains how they fit together. The Reserve Bank of India circular of 6 April 2018 requires payment system data to be stored only in India. Check with your sector regulator before you decide.
Google Workspace vs Zoho on Security, Uptime and Support
Is Zoho Mail safe for business email? On the certifications buyers usually ask about, yes. Zoho lists ISO/IEC 27001, 27017, 27018 and 27701 for its cloud services, all valid to 21 August 2028, and says it is SOC 2 Type 2 compliant. Google covers Google Workspace under ISO/IEC 27001, 27017, 27018 and 27701 and under its SOC 1, SOC 2 and SOC 3 reports (Google Cloud compliance).
Uptime is a tie. Google commits to at least 99.9% monthly uptime in its Workspace SLA, and Zoho lists a 99.9% uptime guarantee on every paid plan. Advertising is a tie too. Google says there is no advertising in the Google Workspace Core Services and that it does not collect, scan or use data in those services for advertising (Google security whitepaper). Zoho promises it will never serve you ads or sell your data to third party vendors. The old framing of a privacy first Zoho against an ad funded Google does not hold for the paid business suites.
Support is where the most common claim is wrong. Several comparisons say Zoho support is ticket only, yet the Zoho India pricing page lists 24x7 support by email, chat and call on every paid plan. Google includes Standard Support with every Workspace order, with a target first response within 4 hours, round the clock, for critical P1 requests. Faster tiers cost extra under the Google support guidelines, though the Google India price list includes Enhanced Support with the Enterprise plans. Whichever suite you pick, ask the seller what response time it commits to in writing.
Does the Government Move to Zoho Mail Matter for Your Business?
For a private business, very little changes. The move covers official government email run by the National Informatics Centre (NIC), and in written answers to the Lok Sabha the Ministry of Electronics and Information Technology said NIC selected Zoho through a competitive GeM bid and that "the ownership and control of Government data remain with the Government of India at all times" (Lok Sabha Unstarred Question 3109, Question 6043).

When Zoho Workplace Wins and When Google Workspace Pays Back
Zoho Workplace suits a cost led team that mostly sends email, and a regulated one that must keep mail in India or search it for audits. Google Workspace suits a team that works inside shared documents, moves files above 10 GB or wants Gemini in its documents.
Choose or stay on Zoho Workplace if
- seat price is the deciding factor, since each Zoho tier costs less than its Google match
- a regulator, client or policy needs your email stored in India
- you need email retention and eDiscovery on a budget, from Mail Premium
- you want the suite on monthly billing at ₹129 or ₹489, or to mix Mail only and Workplace users on a yearly plan
- your team already runs Zoho CRM or Zoho Books and wants one vendor

How to Migrate Zoho Mail to Google Workspace
Google has no one click Zoho migrator. Email comes across over IMAP with the Google data import tool, which names Zoho as a supported provider, and the rest moves by export and import. Your domain and every address on it stay exactly the same. Only the system behind them changes, when the MX records switch from Zoho to Google. Google Workspace Migrate, the tool listed on the Standard price card, does not cover Zoho. Its sources are Exchange, SharePoint or OneDrive, file shares, Box and Google Workspace (Workspace Migrate help), so ignore guides that point you to it.

GWMME, the Google Workspace Migration for Microsoft Exchange tool, copies only email and labels from IMAP (Google migration product matrix), so calendars and contacts travel as ICS and VCF files whichever Google tool moves the mail.
Check your Zoho plan first
The Zoho Forever Free plan does not include IMAP, POP or ActiveSync, and the Google import pulls mail over IMAP. Upgrade before the move, and note that once you upgrade, Zoho bills every user at the paid rate.
Before and After You Change MX Records
- List every user, alias, group and shared address in Zoho, because per user imports miss addresses that belong to no one.
- Choose the Google plan, verify your domain in the Google Admin console and set up two step verification and admin roles before the first mailbox moves.
- Open the Email Policy in the Zoho Admin Console. Access Restrictions can switch off IMAP for some users or limit mailbox access to an office IP range, and Account Restrictions can block email export, so clear both for the move (Zoho email policy help).
- Enable IMAP access for each user in Zoho Mail settings, and create an application specific password where two factor authentication is on (Zoho IMAP help).
- Tick Include Archived emails in the same IMAP settings, so mail in the All Archived view comes across.
- Copy the IMAP server name shown in your Zoho account. Google lists imappro.zoho.com for organisation accounts, and Zoho says the exact server depends on your account type and data centre.
- Take a backup. A Zoho admin can export mailboxes as ZIP, up to 50 users at a time, or as PST on paid plans, up to 10 users at a time, and the files stay available for 30 days. Spam and Trash are left out unless you include them (Zoho backup help).
- Export contacts as VCF (Zoho Contacts help) and calendars as ICS (Zoho Calendar help) for each user.
- Run a pilot. Move 5 to 10 users from one team, ideally including one heavy calendar user and one heavy files user. Check that archived folders came across and that repeating meetings still repeat, since those are the two things a careless export breaks. - Keep the Zoho subscription active until the delta import after the MX change has finished.
At cutover, switch the MX records to Google, update SPF, DKIM and DMARC for Google at the same time, then run a delta import to bring across mail that reached Zoho during the switch. After go live, recreate filters and signatures and show people how shared drives take over from their WorkDrive team folders. Migrations from Microsoft 365, Zoho, or another provider follow our SmoothSwitch process and take 1 to 8 weeks depending on company size, with mail flowing throughout.
What Leaving Zoho Costs
For most of the move you pay both vendors, since Google seats start with the pilot and Zoho stays paid until the delta import. Zoho renews plans automatically, and its India terms of service ask for notice at least seven days before the renewal date if you do not want to renew. If you miss that, the Zoho refund policy still gives a full refund on an annual plan cancelled within 15 days after renewal, but it does not refund a cancellation after that window, even pro rata. Cutting licences partway through an annual term earns no money back, only extra subscription time on the licences you keep. Zoho values each unused licence at the amount paid minus the monthly list price for every month used, so little credit is left late in the term. Plan the cutover to finish before your Zoho renewal date, and give the non renewal notice only once your cutover date is certain. If the move runs past renewal, you can let the plan renew, finish the delta import and still cancel within those 15 days for a full refund.
Keeping Zoho CRM After You Switch
Moving mail and files to Google does not force you off Zoho CRM. Zoho documents a Zoho CRM integration with Google Workspace that shows Gmail conversations inside CRM and lets you reply from there. It also syncs Google Calendar both ways, syncs Google Contacts, attaches Google Drive files to CRM records and adds a Chrome extension that brings CRM into Gmail. For Zoho Books and any other Zoho app you keep, check the Google integration settings of each app before the move, and test one real record end to end during the pilot.

Is Zoho Workplace cheaper than Google Workspace in India?
Yes, at every comparable tier. On annual billing Zoho Workplace Standard is ₹99 per user per month against ₹270 for Google Starter, and Workplace Professional is ₹399 against ₹1,080 for Google Standard, with 18% GST added to both. For a 50 person team that comes to ₹70,092 a year on Workplace Standard and ₹1,91,160 on Google Starter, GST included. The extra spend on Google buys pooled storage, uploads up to 5 TB in Drive and Gemini across Docs, Sheets and Meet on Standard, so compare what your team actually uses.
Is Zoho Mail better than Gmail for business?
Neither wins for every business. Zoho Mail costs less, from ₹59 per user per month for Mail Lite on annual billing, gives each mailbox fixed storage, includes retention and eDiscovery from Mail Premium at ₹199 and keeps India sign ups in India. Gmail in Google Workspace shares one storage pool with Drive, turns oversized attachments into Drive links automatically and works inside Docs, Sheets and Meet, with Gemini in Gmail from Starter. Is Zoho an Indian company?
Yes. Zoho Corporation describes itself as a privately held, profitable technology company founded in 1996 and headquartered in Chennai, India. Sridhar Vembu, one of its founders, is its Chief Scientist, and the company says it has never taken money from investors. Zoho hosts accounts that sign up from India in its India data centres, Mumbai primary and Chennai secondary.
Does the Indian government use Zoho Mail?
Yes. Official government email run through the National Informatics Centre (NIC) is moving to the Zoho platform, which NIC selected through a GeM bidding process. By a Lok Sabha answer of 1 April 2026, about 16.68 lakh accounts had moved so far, at a cost of ₹180.10 crore, with monthly pricing from ₹170 to ₹300 per account for 30 GB to 100 GB mailboxes. The government keeps full ownership of all data generated under the contract, which covers government email only, at rates that differ from Zoho business list prices.
Is Zoho Mail free for business?
Only in a limited way. Zoho lists a Forever Free plan for one domain and up to 5 users with 5 GB each, but it leaves out IMAP, POP and ActiveSync. Zoho offers it only in select data centres, so check at sign up whether your account can get it. The 5 free users apply only to that plan, and once you upgrade every user is billed at the paid rate. The cheapest paid option is Mail Lite at ₹59 per user per month on annual billing, plus GST.
How do I export Zoho Mail to Google Workspace?
